process

How it works

How working with TFS actually works.

From first inquiry to annual renewal, here’s the path — seven plain-language phases, with a CPA leading every judgment and the secure portal handling every document. A fit conversation is a safe first step, not a commitment.

Schedule a Fit Conversation

The client journey

Seven phases, start to renewal.

Every internal step rolls up into a phase you can picture yourself taking. Structure is the point — it’s what keeps complex situations clear.

01
Inquiry

You reach out

Tell us a little about your situation through the website or by scheduling directly. We only ask for non-sensitive basics at this stage — what you’re looking for and roughly how complex things are. Please don’t send tax documents yet; secure collection happens later, inside the portal.

Behind the scenes: Your inquiry enters through the website or scheduling — routing details only, never sensitive documents.
02
Fit recording

We learn your situation

We note what matters for matching you to the right level of support — the kind of return you file, how many entities you have, whether a trust or estate is involved, the state of your books, and any deadlines. It helps us make a sound recommendation before we ever meet.

Behind the scenes: We capture entity type, books status, trust/estate involvement, timing — non-sensitive bands and categories.
03
Recommendation

We recommend a package

Based on what we’ve learned, we recommend the package that fits — Foundation, Growth, or Executive — and send you the matching overview or a comparison so you can see exactly what it includes. No guessing, no blind self-selection.

Behind the scenes: A CPA applies the package fit logic; if your books aren’t current, the recommendation includes a cleanup-first path.
05
Proposal + EL

We confirm & propose

A CPA confirms your package, what’s included, and anything outside standard scope. You then receive a clear proposal and engagement letter in our secure portal, so your scope and price are defined in writing before any work begins.

Behind the scenes: CPA validates tier and exclusions; the proposal and engagement letter are issued. Any add-ons are named, never bundled.
06
Onboarding

You sign & onboard

You sign the engagement letter and set up monthly autopay, then we onboard you in the secure portal — your checklist, organizer, document requests, and the recurring deliverables for your package, all in one place. From here, the cadence runs.

Behind the scenes: This is the first point sensitive documents are collected — securely, inside the client portal. Autopay is required.
07
Renewal

We right-size each year

At renewal we review how the year actually went and adjust your package to match — up if your situation has grown more complex, down if it’s simplified. You pay for the cadence you actually need, not the one you started with. That’s what “Your Family CFO for Life” means in practice.

Behind the scenes: Right-sizing is two-way. No tier change without CPA review and an updated engagement letter.

Start with a fit conversation.

It’s the first phase, and the only one you need to take today — a safe, low-commitment conversation before any sensitive records are collected.

A fit conversation is not a tax-planning engagement, proposal, or client relationship. Final scope and pricing depend on CPA review and a signed engagement letter.
